Privacy policy

CMPC (Contract Management & Project Control) respects your privacy. This policy explains what personal information we collect, through this website and when we contact businesses about our services, why, and what we do with it, in line with the New Zealand Privacy Act 2020.

What we collect

When you use the contact form we collect your name, email address, company (if given), your role, the contract form (if given), whether you have a deadline coming up, and your message.

When you book a call we collect your name, email address, phone number and company (if given), what the call is about, any notes you add, and the time you choose.

This website does not use cookies or advertising trackers. We use Vercel Web Analytics to count page visits in aggregate (pages viewed, referring site, country and device type). It does not use cookies, does not identify you and does not follow you across other websites.

Why we collect it

We use your details only to reply to your enquiry, assess whether we can help, and carry out any work you engage us for. We do not use them for marketing, and we never sell or rent your information.

Who receives it

Messages from the contact form are delivered by email through Resend, an email delivery service based in the United States. This means your enquiry is processed overseas. Resend handles it only to deliver the email to us.

Each enquiry is also sorted automatically by TypeSafe, an AI service based in the United States, which reads the message to suggest which service it relates to and how urgent it is. TypeSafe processes the enquiry only to return that result to us.

Enquiries arrive in our business email inbox, provided by Zoho Mail and stored in Australia.

Call bookings are handled by Cal.com, a scheduling service based in the United States. It uses your details to book the call, send the confirmation and invite, and add the meeting to our calendar.

The website is hosted by Vercel, based in the United States, which processes basic technical information such as IP addresses to deliver pages securely.

We do not share your information with anyone else unless you agree, or the law requires it.

Business contacts we reach out to

When we contact people about our services, we may hold their work details: name, role, firm, work email and where we found them (for example a firm website, a project announcement or a mutual contact). We use these details only to offer our services and to keep a record of our contact.

These records are kept in Linear (project tracking) and Google Gmail, both based in the United States, and we use Anthropic's Claude, also based in the United States, to help research and draft messages. Nothing is sent automatically: every message is reviewed and sent by us.

If you ask us to stop, we will not contact you again. We delete details of people we are not working with after 12 months.

Contract Notes subscribers

If you subscribe to Contract Notes, we keep your email address, your first name if you gave it, and when you confirmed. We use them only to send the monthly email.

Subscriptions are confirmed by a link we email you, and every issue has an unsubscribe link. The list is kept in Resend, based in the United States. When you unsubscribe we stop emailing you, and on request we delete your details.

How long we keep it

We keep enquiries for as long as we need them to respond and to keep a record of our correspondence, and for no longer than two years unless we go on to work together. Records of engagements are kept as long as needed for professional and legal obligations.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct or delete it. Send your request through the contact form and we will respond within 20 working days.

If you are not satisfied with how we handle your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
